How do I change my password.

Simply click on Forgot Password

1. What does it mean to register as a buyer? ABSOLUTELY FREE, NO HIDDEN COST

Registering as a buyer is a free service offered to any legal entities or institutions. This may include schools, municipalities, NGO, close corporation e.t.c. Registered buyers can create quotaion templates onlne and invite prospective suppliers to provide various goods or services.

2. How do I register as a buyer

1. Fill online registration form. 2. Receive e-mail with user name and password and log-in 3. Update details. Check help menu to see detailed steps. Register Now

3. What does it mean to register as a supplier? NO MONTH TO MONTH CONTRACTS. NO HIDDEN COST.

Another term for the supplier is a seller, someone who provides goods or services. Suppliers are registered business entities like Close Corporation, Pty Ltd, Ltd, co-ops, partnership, joint ventures, professionals that do business to make profits. Registration as a supplier is also free.

4. How do I register as a supplier

1. Fill in oline registration form. 2. Retrieve username and password on your e-mail. 4. Log in and update MY PROFILE. Check help menu to see detailed steps. Register Now

5. I cannot see my quotations on view tenders or search tenders

There are two reasons why this can happen :-

1. Your publish date is in advance. To change your publish date ;
Login->My profile-> My Tenders-> then under sub heading OPTION click EDIT then change Publish Date.
2. You have not created a quote template;
Login->My profile->My Tenders->then under sub heading TENDER DESCRIPTION select desired quotation. Click on QUOTATION then select CREATE QUOTATION TEMPLATE.

6. I forgot my user name and password?

Your username will always be your e-mail address. If you have several e-mail addresses and you do not remember which one used to register your business, do not hesitate to call mytenders (see contacts). If you forgotten your password, click on forgot password and follow instructions and provide new password.

7. Is the site safe to use my credit card online to make payments.

Absolutely, Yes. In South Africa and internationally online credit card fraud is descreasing, more and more people are using their cards online. Thanks as well to latest technology that prevents the receipient to see credit card details of the credit card user. E-commerce as is also known uses complex encrypting codes to safeguard your credit details not to fall in hands of criminals.

8. I don't have a credit card, how else can I pay and be connected instantly? (Site currently free, do not worry)

No way for now. Please make an EFT or Debit Order payment and send proof of payment by fax or e-mail.

9. How long does it take to be activated if I pay by credit credit.(Site currently free till further notice)

Instantly. No faxing.

10. How long does it take to be activated if I pay by Electronic Transfer from other bank? (Site currently free till further notice)

Once we receive your deposit on our account FNB will proceed immediately to activate your account . Make sure you send proof of payment as soon as possible. Your account will only be activated once funds reflect on our bank account.

11. I'm already registered as a buyer, how do I update my status and also be a supplier.

Log-in using your buyer profile. Click on MY PROFILE. On the left hand side of MY PROFILE menu you will see, Update to Supplier. Remember updating to supplier is at a fee. (see pricing). Follow instructions. Now you have BUYER AND SUPPLIER profile.

12. I'm already registered as supplier, how do i update my status and also be a buyer.

Log-in using your supplier profile. Click on MY PROFILE. On the left hand side of MY PROFILE menu you will see, Update to Buyer. Follow instructions. Now you have SUPPLIER AND BUYER profile.

FOLLOW 1-4 EASY STEPS TO REGISTER

Step 1

On main menu click Register then select Register as a buyer.

Step 2

Fill in the form and click on Register at the bottom.

Step 3

Open e-mail on address used when registering as a buyer. See Step 2
Check your Inbox or Spam for mytenders reply e-mail which will contain your username and password to log in.
Copy username and password.
Return to mytenders main screen and login.

Step 4

Click on MY PROFILE and then click on UPDATE DETAILS to update circled information.

Last Step

Congratulations! Your profile has been fully updated.

Proceed to create the tender and quote template.

CREATE TENDER (1-5 Easy Steps)

This is where you as a buyer will define the specification for your quotations. The suppliers or sellers will
use information given here as basis to formulate their quotations back to you. Be as specific as possible
to avoid contradictions and disputes. It is always advisable to request samples or invite suppliers for site
briefing to make sure you are both on same page.

Step 1

On main menu click on MY PROFILE
Under MY PROFILE click on CREATE TENDER

Fill the CREATE TENDER form

Enter required fields on the form and click on CREATE TENDER at the bottom of the FORM

FORM FIELD DESCRIPTION

3.1 Reference Number :

This field may be used if the buyer has existing filing sequence to relate to this quotation,
e.g 2010/CS/300/VANZY.

Publish Date

Date you want your quotations to appear on mytenders for suppliers to see and submit quotes.

3.2 Tender Description:*

Here provide a short description of what you want supplied. e.g if you want appliance companies to
quote television sets, here for instant you say : Provision of 40" television sets. Things like installation,
delivery, and licenses will be added later on the template.

3.3 Optional Additional Information :

Optional additional information can be used to provide extra details about the quotation or the company
or why the quotation is requested. Field not compulsory.

3.4 Attach Tender File :

Attach tender file allows the buyer to add a file.

3.5 Category :*

Select area of expertise.

3.6 Is There a Site Briefing : (Click means yes blank means no)

Site briefing allows buyers to invite suppliers to inspect the extend of work, answer questions, provide
sample or give further information about the quotation. Basically site briefings give suppliers the chance
to understand the scope of work before they can finalize their quotation. To discourage suppliers from
responding to quotations before the site briefing the buyer may CREATE TENDER and only CREATE
TEMPLATE for quotation only after the briefing.

3.7 Site Briefing Date & Time :

The date and time suppliers must attend.

3.8 Site Briefing Address :

This is the venue where briefing will take place.

3.9 Tender Closing Date & Time : *

Tender closing Date and Time is when the quotations must be submitted by suppliers. No quotations will
be accepted by the system after this period. This is a cut off time for suppliers to submit their bids online.

3.10 Expected Delivery Date :

The date the supplier must deliver or complete the goods or services for your the the buyer. Choose this
date very carefully and discuss it with the suppliers as other products must be imported or constructed.

3.11 Delivery Address :

This is the venue or place where goods or services will be delivered by the supplier.

3.12 Contact Person :

Person responsible for the project. It may not necessarily be the person who posted the quote.

3.13 Work Phone Number :

Contact telephone number

3.14 Tender Email Address :
Contact e-mail address

Step 4

Click on CREATE TEMPLATE on top left of the form.

OUTLINE

The template created on this screen will allow the buyer to set the specification and parameter for suppliers to respond to. It is important that the buyer send clear and precise description and quantities of what he wants the suppliers to deliver. You will notice that the buyer must specify the description and quantity lines only. The supplier will only put the price on this form, suppliers can not edit the description or quantities required by the buyer.

FORM FIELD DESCRIPTION

Add line : The form will start blank, the buyer must insert the line to enter the description and quantities.
Commit changes : Commit changes saves the inserted line details.
Complete quote : Completes the creation of the quote template. Once this procedure has been completed even the buyer can not change the template. If there are are major changes to the quotation, the buyer must close the tender and re-advertise. This helps where a supplier quotes on an earlier template and not on a subsequent one.

Step 1

On main menu click REGISTER and select REGISTER AS A SUPPLIER.

Step 2

Complete REGISTER AS A SUPPLIER form and click REGISTER on the bottom of the form.

STEP 3

PAYMENT OPTION

Mytenders will endeavour to activate accounts once funds reflect on our acoount and not wait for proof of payment. Always put your company name as a reference. The suppliers must send proof of payment by e-mail to accounts@mytenders.co.za or fax to 0866061333.

The following instruments may be used to deposit money to mytenders:-

1. CREDIT CARD

If you pay by credit card you will be directed to a secure credit card payment screen. Fill your credit card details and submit. To protect your credit card, Verified by Visa may prompt you to enter pin number that will be used everytime you pay online using your Visa card. Follow the instructions. If the transaction successful, you will receive your username and password to use mytenders instantly.

2. DIRECT DEPOSITS

2.1 Internet Payment (EFT). The account will only be activated once the deposit reflects on our account and proof of payment received. Mytenders reserves the right to be flexible to our regular users and activate the account once the proof of payment is sent even if it does not yet reflect on our account for payments from other banks.

2.2 Cash. Activated once proof of payment is received.

2.3 Cellphone banking. Activate the account once the amount reflect on our account as it is difficult to send proof of payment.

2.4 ATM transfer. Activated the account once proof of payment is received and funds reflect on our account.

2.4 No cheques.

3. DEBIT ORDER

The account will only be activated once the filled debit order authorization form, registration documents and latest bank statement has been sent.

Step 4

Retrieve username and passoword from your e-mail address and log-in.

Click on MY PROFILE and UPDATE DETAILS. Update your company details.

Step 1

Click on Running Quotations

Fill in Search Fields

Click on Search Tenders

Select the desired quotation to respond to. You can also search quotation by category, province or description.

Click on Submit Quotaion.

The only input on this screen is your RATE or price.

Commit changes . Refreshes Totals.
Complete Quote . Concludes the quoted price. Please note that completed quote prize can not be changed but the supplier can re-submit another lesser quotation.
